When a Business Needs Custom Software Instead of SaaS

Custom software is justified when workflow fit, integration or control matters more than the convenience of a generic subscription.

What to consider

Compare the cost of workarounds, manual re-entry, integration limits, permission models and future process changes. If a standard product covers most of the workflow, use it. Build custom software when the process itself is strategically important or the integration gap is costing more than ownership would.

Use this before buying

Write down the current workflow, the bottleneck, who owns the decision, what systems are involved and how success will be measured. That prevents a technology project from becoming a feature list without a business outcome.

What to ask a delivery partner

Ask for scope boundaries, acceptance criteria, security assumptions, dependencies, change-control rules, QA evidence, deployment ownership and post-delivery support in writing.
